Contact Lists

You can use the JHED/LDAP Directory to create personal contact lists in JShare.  In order to create your contacts, use this the folllowing steps:

  1. Log in to your JShare account.
  2. Under "Utilities", select "Contacts and Groups"

  3. Select the Add New Contact Icon add contact image at the top of the page.

  4. Search JHED either by Display Name or User ID.  *Note:  The search is a Begins With search, but will only display up to twenty (20) names from the Directory; so try to use the most comprehensve information in your search.
  5. Select the User ID that you would like to create a contact for and select "Add Contact."  The contact has been added to your Contact List. which will allow you to easily share files with this person.

Creating a Contact List

  1. Under "Utilities", select "Contacts and Groups"
  2. Select the Create Group Icon create group imageat the top of the page.

  3. Provide a Group Name and select a password option for the Group.

Add Contacts to List

  1. Once you have created the Group, select the Add New Members Icon  add new contact imageat the top of the page to add members from JHED to your group. You may select members from your Contact List or search the Directory itself for new members.
  2. If you have already created a Group and wish to add new members, select the Group from your Contact List and select the Add New Members [image] icon to add additional members to your Group.

 

 

 


 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Creating Subscriptions

Subscriptions are requests to be notified via email when files or directories, to which that user has read access, are viewed, changed, or commented. If subscriptions have been turned on by your administrator, you may perform the following:

  1. From your directory listing, choose the file or directory to which you wish to subscribe by clicking on that file's or directory's Info icon.
  2. From either the file's or directory's information screen, click on the "Subscriptions" link.
  3. Next, click the "Create Subscription" button on the top toolbar.
  4. Check off the type of subscription according to the table below.
  5. Choose the frequency of the report as either when the event occurs for an immediate notification or "Daily Report" which sends all notifications for all of your subscriptions at once.
  6. Click "Ok" when you are done creating your subscription.
  7. To return to the directory listing, click on your directory of choice from the directory path in the gray bar.

Note: If choosing the "Daily Report" option for your subscription, the time of day the daily report is sent is determined by the System Administrator

"Notify me of" Options 
Change Events

Change Events on files include:

  • When a file is uploaded and an existing file is overwritten or a file is moved or deleted
  • When a file has been copied or downloaded

Change Events on folders include:

When any of the above file events occur to any file or sub-folder within the specified folder
  • When a file is initially uploaded to a folder and when a file within the specified folder has been moved
  • When a sub-folder is created within the specified folder
  • When the folder itself has been deleted
  • Read EventsA file read event occurs whenever a file is viewed/opened. A folder read event occurs whenever a file within the folder is viewed/opened.
    Comments EventsA comment event occurs whenever a comment is created on a file or folder.

     To cancel an existing Subscription:

    1. From either the file's or folder's information screen, click on the "Subscriptions" link.
    2. Click the "x" icon in the Unsubscribe column of the subscription you wish to cancel.
    3. Click "Back" at the top-right corner of the screen when you have finished canceling subscriptions.

     

    Lock/Unlock Files and Folders

    Users can view and edit file and directory locks by clicking on the ‘Locks’ link in the Info page for the file or directory.

    The Locks page allows users to:

    Create an exclusive lock on the directory entry, allowing only the lock creator to edit the directory entry’s contents.

     Directories only: Create an exclusive, recursive lock on the directory, locking the directory and everything it contains.

    View and remove (delete) existing locks.

    Delete a lock by clicking on its associated delete icon. 

    Clicking the icon, under the Lock heading, results in:

    An exclusive lock being created on a file; or…

    An exclusive lock being created on directory and all of its children.

    A green or red locked icon replacing the unlocked icon.

    • Green indicates a simple lock that can be undone by clicking on the icon.
    • Red indicates that the lock is owned by another user, or is generally too complex to be undone by simply clicking on the icon.  Such locks must be reviewed via the details page.

    Logging Files

     Clicking the Logging link for a file allows you to:

    • Toggle logging on/off.
    • View the log history for the file; each log entry includes the following information:
    • Username:  The username for the user accessing the file.
    • Action:  The action performed on the file.
    • Date:  The date on which the file was accessed.
    • IP Address:  The client IP address from which the action was performed.
    • To/From:  The target or destination resource for actions such as COPY and MOVE.
    • Delete the log file for this file.  This is done by clicking the ‘Delete Log’ link.
