Why do we have the CommVault Enterprise Archiving Solution?

  • Archiving provides overall long-term storage.
  • This has been implemented to help manage the 500MB mailbox size limit in Outlook/Exchange.

How does archiving work with CommVault?

  • It runs weekly and reduces mailbox size by moving messages into the archives and replacing them with stub/shortcut messages.
  • Messages moved into the CommVault Archives are available through the Outlook client and through Outlook Web Access.

What is a stub/shortcut message?

  • A stub message is a smaller version of the original message.
  • A stub is really a shortcut that points to the full message in the CommVault Archives.
  • Attachments and advanced formatting of the text are not in the stub.
  • You can identify a stub/shortcut message by the shortcut icon: Archiving

Archiving

  • Double-clicking the stub/shortcut retrieves the full message!
  • Open up the message, then forward! If you don't open up the message, you will be forwarding a stub/shortcut message.

Archiving Policies

Policy based on GroupWise Archived messages:

  • All migrated GroupWise Archive messages under "GroupWise Archive" folder will be stubbed and will never expire.

Policy based on the age of the message (90 day / 30 day >1MB):

  • After 30 days: Messages over 1MB in size are stubbed.
  • After 90 days: Messages are stubbed.
  • After 3 years: Messages and stubs are expired.
  • CommVault will not stub or remove: Calendar, Tasks, Contacts, Notes.
  • There is no size limit (quota) on CommVault Archives.

Which folders are excluded from the CommVault Archive?

  • Calendar
  • Contacts
  • Deleted Items
  • GroupWise Archive
  • Notes
  • Tasks
  • Trash

Archiving

Archive Now: Archiving Clicking this button after selecting a non-stubbed message will cause the CommVault system to archive and stub/shortcut the message on the next scheduled Archiving Process. The message icon will change to this: Archiving

Delete: Archiving Provides the ability to delete items from the archive. (Not available at this time.)

Search:  This button will bring up the CommVault Search window to search the archived messages. Archiving This button will bring up the CommVault Search window to search the archived messages.

Using the Find/Browse Window

Archiving

  • You will see your name.
  • You can specify your search criteria (Subject, T, From:, and more).

How to Get to Archived Messages from Web Access

Hint:You must be using Internet Explorer version 6.0 or higher to recall/recover messages from the archive.

Messages recovered from the archive are handled differently depending on whether the full Outlook 2007 client is used or Internet Explorer through Outlook Web Access. In the Outlook 2007 client, messages are restored to their original folder location. In Internet Explorer, messages are restored to the "Recovered Items" folder.

  • Login to Outlook Web Access.
  • Identify a stub/shortcut message by the CommVault Icon: Archiving
  • After double-clicking the stub/shortcut, a recovery window will open!

Archiving

  • Select Recover.
  • The message will recover to a folder called "Recovered Items."

Where are my GroupWise Archives?

  • Until GroupWise archives are moved into the Outlook/Exchange system, they will remain in GroupWise.
  • Archived GroupWise messages will be migrated over to a folder called "GroupWise Archive."
  • Under the "GroupWise Archive" folder will be whatever folders you had in your GroupWise archive.
  • The messages in the folders under "GroupWise Archive" are subject to the GroupWise Archive Policy.
  • All of your messages under "GroupWise Archive" will be stubbed.
  • Messages in your "GroupWise Archive" folders in Outlook/Exchange will never expire.
