Johns Hopkins Wireless Device-Groupwise Integration

Handheld Integration-Wireless Email Syncronization Information

Wireless email synchronization eliminates the need to use desktop software to synchronize email and PIM (address book & calendar) information. Wireless sync with GroupWise is accomplished using middleware applications that sit between GroupWise servers and handheld devices. In order to take advantage of this capability, the following conditions must be met:

  • The customer must use GroupWise for email.
  • The voice/data plan must exist on the Hopkins corporate Cingular or Verizon contract.
  • Voice & Data services must be activated.
  • The customer should understand additional fees associated with use ($18.50 per month).
  • If the customer wants to activate a Blackberry, it must be using at least v4.0.x handheld software.

The activation process is as follows:
  1. The customer should contact Telecom (Linda Bihun-Werner) to order a device or use the Telecom web site.
  2. Customer should fill the New Account Request Form for the appropriate device/system (links are included below).
  3. Once the request form is received and approved; an activation request date will be scheduled.
  4. Devices are shipped directly to the customer and need to be activated for phone & data service when they arrive.
  5. On the scheduled date, the user account will be created on the sync server (i.e. BES or GWMobile) and he/she will receive an activation password and instructions on how to perform the device activation. If necessary either the LAN Administrator or wireless email server administrator will assist the user with the wireless activation.

International Travel: 

Verizon devices do not have the ability to provide coverage for international travel.  JHU Telecom has loaner phones available, or the Hopkins Verizon sales representative can provide loaners.  Cingular does provide international coverage on phones and handheld devices.

Email Synching Options for Handheld Devices

PDA users at Hopkins have several options for email and PIM synchronization. These options range from simple forwarding rules that redirect email to a handheld device, to wireless synchronization applications that synchronize email, calendar, contacts, and tasks. There are five(5) basic options for email integration that can be applied to handheld devices:

1. Wireless Synchronization

Email and Calendar information are synchronized in real-time over a wireless data network. Changes made to messages on the device are sent back to a server and the status is updated in the Inbox. The use of wireless synchronization removes the need to use a cradle or connect the device to a PC.

2. Desktop Synchronization

Many PDA device manufacturers provide desktop synchronization software that uses a cradle or USB cable to synchronize email, calendar, contacts, and tasks. This Personal Information Management (PIM) capability has been in use at Hopkins for years but produces mixed results as compatibility with GroupWise and periodic desktop related issues present some challenges with support. This method can be used for both wired and wireless devices.

3. Forward Rules

Email can be "forwarded" from an inbox to a wireless device and appears on the device as though it was from the original sender.  In this case, email is delivered in real time via the wireless network, but does not provide any wireless capabilities for PIM.  Forward rules can be used in conjunction with desktop synchronization where the PIM items are synchronized via the desktop client and email is sent over the network.  If a reply is sent, the address used in the "From" address will be whatever email account is associated with the handheld device.

4. POP/IMAP

Some handheld devices provide a POP/IMAP client that allows users to download, read, and send email via the wireless data network. It is increasingly important that handheld devices supporting this capability use the secure forms of POP and IMAP, which is the only option when used with GroupWise. This method does not provide wireless synch for PIM, which can be provided via desktop cradle synch previously mentioned.

5. Wireless Web Access

Some handheld devices support the ability to connect to email via a web access server. This scenario is similar to accessing email through a web browser but the display is formatted to fit the screen of a PDA. No email data is stored locally on the device and this type of setup requires a constant data connection to read/send messages.

Daylight Savings Time Patch Overview

Starting in the spring of 2007, Daylight Savings Time (DST) start and end dates for the United States will transition to comply with the Energy Policy Act of 2005.  DST dates in the United States will start three weeks earlier (2:00 A.M. on the second Sunday in March) and will end one week later (2:00 A.M. on the first Sunday in November).  Devices that automatically adjust their clock/calendar to accommodate DST will not make the change on the correct start and end dates in 2007. As a result, your device might not display correct time zone information for certain time periods during the year. Appointments and their reminders might appear 1 hour late on your device if the appointments start in one of the following windows in any year:

Between the second Sunday in March and the first Sunday in April (for example, 11 March 2007 to 1 April 2007)
Between the last Sunday in October and the first Sunday in November (for example, 28 October 2007 to 4 November 2007)


NOTE: Anyone living in or traveling to Mexico will not be impacted by the DST change as Mexico is not changing the DST start and end dates. However, any Mexico, Latin America, European or Asia-Pacific users who book meetings with US or Canadian-based users will also be impacted by this transition for those meetings unless patches are applied.
